Facilities/IT Admin- Part-Time (20hrs/week)

Position Overview:

The Facilities/IT Administrator provides essential operational support across two key areas of ministry: Facilities and Information Technology. This role ensures that church systems, spaces, and tools function smoothly and securely for staff and volunteers. The estimated pay range for this position is $18.00 - $21.00/hour.

This position splits time evenly between:

  • Facilities (10 hrs/week) – Assists with room scheduling, volunteer coordination, vendor communication, and invoice management under the direction of the Facilities Director
  • Information Technology (10 hrs/week) – Assists with budget and invoice tracking, vendor communication, ticket management, and equipment purchasing under the direction of the IT Director

Primary Position Responsibilities:

  • Actively live out The Well's mission: helping people connect to God and each other in every neighborhood
  • Adhere to The Well's Statement of Faith and actively live out the gospel 

Facilities Department

  • Room Management – Maintain and update room scheduling systems to ensure spaces are set up and reset according to ministry needs; assist with facility use requests and event setup coordination
  • Volunteer Coordination – Support the Facilities Team in scheduling and communicating with volunteer teams for facility projects, maintenance, and events; help ensure volunteers have needed tools and materials
  • Vendor Communication – Act as a point of contact for regular facility vendors (cleaning, landscaping, HVAC, pest control, etc.); assist in scheduling service calls and tracking completion of work orders
  • Invoice Management – Collect and submit invoices for processing; track budget allocations for Facilities expenses; assist with purchase orders and account coding
  • General Support – Help monitor inventory of facility supplies and reorder as directed, and manage incoming facility requests from staff

Information Technology

  • Ticket Management – Monitor and triage incoming IT support requests in ClickUp (or other ticketing tools); respond to Tier 1 issues and escalate higher-level problems to the IT Team when needed
  • Vendor Coordination – Maintain regular communication with IT vendors (Canon, Meraki, Mosyle, NinjaOne, 3CX, etc.); assist with scheduling service calls, renewals, and warranty tracking
  • Budget & Invoice Tracking – Process and track IT-related invoices; verify charges against quotes or contracts; assist with budget reconciliation and expense reporting
  • Equipment Purchasing & Inventory – Support ordering and receiving of technology equipment and accessories; update asset inventory records; prepare and organize devices for staff use or return
  • User & Access Support – Assist with user onboarding and off-boarding tasks (Google Workspace accounts, Mosyle enrollments, 3CX extensions, etc); ensure documentation is kept current
  • Documentation & Reporting – Update IT SOPs, system inventories, and license records in ClickUp or shared documentation; provide status updates during team check-ins
  • Be a positive voice and influence for staff and leadership of The Well
  • Occasional evening and/or weekend hours for meetings or ministry events may be necessary
